Quick Answer

What is a large group charter service? A group charter is a private booking of one or more vehicles dedicated entirely to your event or group. Unlike point-to-point service, charters are typically booked for multi-stop itineraries, multi-hour or multi-day events, or groups requiring multiple vehicles operating together.

Our charter service handles groups from 15 to 200+ passengers. For groups under 25, a single 24-passenger mini-coach typically handles the entire booking. For larger groups, we coordinate multiple vehicles operating in sequence or simultaneously, with all dispatch handled by our team and the operational complexity invisible to the client. Common use cases include conferences, sports teams, family reunions, corporate retreats, alumni events, and senior group outings.

Common Charter Use Cases

Six Events We Charter Most Often.

Most charter bookings fit one of these six categories. Each is custom-quoted, and many bookings combine elements from multiple use cases.

Business Events

Conferences & Conventions

Multi-day shuttle operations between conference venues, host hotels, and SeaTac airport arrivals. Often involves running scheduled shuttles between multiple stops throughout the conference, plus airport transfers at the front and back end of the event.

Typical: 50–200+ attendees · 2–4 days · multiple coordinated vehicles · scheduled shuttle loops
Athletics

Sports Teams & Athletic Groups

Adult sports teams, club teams, and athletic groups traveling to games, tournaments, or training events. Coordination includes pickup from a central meeting point, transport to the venue, return after the game, and sometimes overnight or multi-game tournament schedules.

Typical: 15–50 players + staff · single game or tournament weekend · 1–2 vehicles
Reunions

Family, Class & Military Reunions

Family reunions, class reunions, and military reunions where members are traveling from out of town and need coordinated transportation between hotels, the reunion venue, and side activities. Often spans a full weekend with multiple coordinated legs.

Typical: 30–100 attendees · weekend-long · multiple stops · single mini-coach
Corporate

Corporate Retreats & Offsites

Company retreats, team offsites, leadership summits, and strategic planning gatherings at off-site locations. Includes airport pickups for out-of-area participants, transport to the retreat venue, and any side excursions during the retreat itself.

Typical: 20–60 participants · 2–3 days · multi-leg transport · 1–2 vehicles
Higher Ed

University & Alumni Groups

University-affiliated groups, alumni associations, and adult continuing education programs. Often involves campus visits, alumni events at off-campus venues, donor weekends, or coordinated visits to multiple locations in a single day.

Typical: 25–80 participants · single day or weekend · campus and venue coordination
Community

Senior & Religious Group Travel

Senior community outings, religious group travel, retirement community day trips, and faith-based event transportation. Often involves transportation to single-day destinations with consistent pickup and dropoff at the same location.

Typical: 20–50 participants · single-day events · door-to-door from one location
Fleet & Capacity

From One Sprinter to a Convoy of Vehicles.

Single-vehicle capacity ranges from 14 passengers (Sprinter van) to 24 passengers (mini-coach). For groups larger than 24, we coordinate multiple vehicles operating together — in sequence for shuttle loops, or simultaneously for single-trip movements. The largest events we've coordinated have used 5–7 vehicles in concert.

Multi-Vehicle Coordination

The Operations Side of Group Charters.

What happens behind the scenes when your event needs more than one vehicle. Four operational practices that turn "moving 80 people" into a problem we've already solved hundreds of times.

01

Real-Time Dispatch Tracking

All vehicles on a charter are tracked by our dispatch in real time. We see where every vehicle is, how far along each route is, and whether the schedule is on time. If something slips, we know about it before the client does — and most of the time we've already adjusted before it becomes a problem.

02

Chauffeur-to-Chauffeur Communication

For multi-vehicle operations, every chauffeur is in direct communication with the others on the event. When the lead vehicle is delayed, the following vehicles adjust. When the schedule changes mid-event, every chauffeur gets the update simultaneously. No client needs to play traffic cop between drivers.

03

Single-Point Client Contact

Even when your event has five vehicles running, you have one phone number to call. Our event coordinator handles all the internal dispatch communication, vehicle status, and chauffeur questions. You focus on your event, not on coordinating drivers.

04

Contingency Vehicles On Standby

For larger events, we keep backup vehicles available near the event location in case of a mechanical issue, traffic incident, or last-minute capacity addition. A punctured tire or weather event doesn't become an event-disrupting problem — it becomes a 15-minute swap most attendees never notice.

FAQ

Group Charter Questions.

The questions event organizers, conference planners, and reunion coordinators ask most often before booking a charter.

What is a group charter service?
A group charter is a private booking of one or more vehicles dedicated entirely to your event or group. Unlike point-to-point service, charters are typically booked for multi-stop itineraries, multi-hour or multi-day events, or groups requiring multiple vehicles operating together. Our charter service covers conferences, sports teams, family reunions, corporate retreats, alumni groups, religious and senior groups, and any group too large for a single Sprinter van.
How large of a group can you accommodate?
Single-vehicle capacity ranges from 1–14 in our Mercedes Sprinter vans up to 24 passengers in our shuttle bus or mini-coach. For groups of 25 or more, we coordinate multiple vehicles operating together. We have successfully handled events ranging from 30-passenger reunions to 200+ passenger conferences using coordinated multi-vehicle operations.
What types of events do you handle?
Common charter use cases include corporate conferences and conventions, sports team and athletic group travel, family and class reunions, corporate retreats and team offsites, alumni group events, religious group travel, senior group outings, and large multi-day events like festivals or sporting tournaments. Each is custom-quoted based on the specific event requirements.
Can you provide multiple vehicles for the same event?
Yes. Multi-vehicle coordination is one of our specialties. For events requiring more than 24 passengers, we coordinate multiple vehicles operating in sequence or simultaneously. Our dispatch tracks all vehicles in real time, chauffeurs communicate via radio, and we handle the operational complexity invisibly from the client's perspective.
How much does a group charter cost?
Charter pricing is custom-quoted based on vehicle count, total service hours, destination distance, and operational complexity. Most charters are billed at an hourly rate per vehicle with a minimum booking commitment, typically 4–5 hours per vehicle. Multi-day events and high-volume bookings may qualify for negotiated rate structures. Call 360-944-0606 for a charter quote tailored to your specific event.
How far in advance should I book a group charter?
For single-vehicle charters during off-peak times, 2–3 weeks ahead is usually sufficient. For larger events requiring multiple vehicles, weekend dates, summer dates, or peak conference season, book 6–12 weeks in advance. Multi-day events with specific date requirements should be booked even earlier — typically 3–6 months ahead — to lock in fleet availability.
Can you handle multi-day events?
Yes. Multi-day events are a common use case for our charter service. Examples include three-day corporate retreats with airport transfers on both ends, weekend conferences with shuttle service between venues and hotels, and family reunion weekends with multiple coordinated transportation legs. We custom-design the schedule and assign chauffeurs based on the event's specific structure.
Do you provide service to event venues outside Thurston County?
Yes. We regularly provide charter service to events throughout Pierce County (Tacoma, JBLM, Gig Harbor), Mason County (Shelton, Hood Canal), King County (Seattle, Bellevue, Woodinville), and surrounding regions. For destinations outside our standard area, travel surcharges may apply but are quoted up front in the charter proposal.
What if the event schedule changes after we book?
Schedule adjustments are normal and expected for multi-day events. As your event approaches, we typically finalize the operational schedule 1–2 weeks before the event date. Modifications during the event itself (timing changes, route adjustments, additional pickups) are accommodated through your single-point contact in real time — that's the operational flexibility a charter provides over rigid point-to-point service.
Do you provide service to event venues outside Washington State?
Our standard service area is Washington State, with primary operations throughout the South Sound and greater Puget Sound region. For events outside Washington — for example, charters to Portland, OR or destinations along the I-5 corridor — please call to discuss feasibility and pricing. Multi-state events typically involve travel surcharges and additional planning lead time.
