Group Charter Questions.
The questions event organizers, conference planners, and reunion coordinators ask most often before booking a charter.
What is a group charter service?
A group charter is a private booking of one or more vehicles dedicated entirely to your event or group. Unlike point-to-point service, charters are typically booked for multi-stop itineraries, multi-hour or multi-day events, or groups requiring multiple vehicles operating together. Our charter service covers conferences, sports teams, family reunions, corporate retreats, alumni groups, religious and senior groups, and any group too large for a single Sprinter van.
How large of a group can you accommodate?
Single-vehicle capacity ranges from 1–14 in our Mercedes Sprinter vans up to 24 passengers in our shuttle bus or mini-coach. For groups of 25 or more, we coordinate multiple vehicles operating together. We have successfully handled events ranging from 30-passenger reunions to 200+ passenger conferences using coordinated multi-vehicle operations.
What types of events do you handle?
Common charter use cases include corporate conferences and conventions, sports team and athletic group travel, family and class reunions, corporate retreats and team offsites, alumni group events, religious group travel, senior group outings, and large multi-day events like festivals or sporting tournaments. Each is custom-quoted based on the specific event requirements.
Can you provide multiple vehicles for the same event?
Yes. Multi-vehicle coordination is one of our specialties. For events requiring more than 24 passengers, we coordinate multiple vehicles operating in sequence or simultaneously. Our dispatch tracks all vehicles in real time, chauffeurs communicate via radio, and we handle the operational complexity invisibly from the client's perspective.
How much does a group charter cost?
Charter pricing is
custom-quoted based on vehicle count, total service hours, destination distance, and operational complexity. Most charters are billed at an hourly rate per vehicle with a minimum booking commitment, typically
4–5 hours per vehicle. Multi-day events and high-volume bookings may qualify for negotiated rate structures. Call

How far in advance should I book a group charter?
For single-vehicle charters during off-peak times, 2–3 weeks ahead is usually sufficient. For larger events requiring multiple vehicles, weekend dates, summer dates, or peak conference season, book 6–12 weeks in advance. Multi-day events with specific date requirements should be booked even earlier — typically 3–6 months ahead — to lock in fleet availability.
Can you handle multi-day events?
Yes. Multi-day events are a common use case for our charter service. Examples include three-day corporate retreats with airport transfers on both ends, weekend conferences with shuttle service between venues and hotels, and family reunion weekends with multiple coordinated transportation legs. We custom-design the schedule and assign chauffeurs based on the event's specific structure.
Do you provide service to event venues outside Thurston County?
Yes. We regularly provide charter service to events throughout Pierce County (Tacoma, JBLM, Gig Harbor), Mason County (Shelton, Hood Canal), King County (Seattle, Bellevue, Woodinville), and surrounding regions. For destinations outside our standard area, travel surcharges may apply but are quoted up front in the charter proposal.
What if the event schedule changes after we book?
Schedule adjustments are normal and expected for multi-day events. As your event approaches, we typically finalize the operational schedule 1–2 weeks before the event date. Modifications during the event itself (timing changes, route adjustments, additional pickups) are accommodated through your single-point contact in real time — that's the operational flexibility a charter provides over rigid point-to-point service.
Do you provide service to event venues outside Washington State?
Our standard service area is Washington State, with primary operations throughout the South Sound and greater Puget Sound region. For events outside Washington — for example, charters to Portland, OR or destinations along the I-5 corridor — please call to discuss feasibility and pricing. Multi-state events typically involve travel surcharges and additional planning lead time.
