Agreement summary. These Terms & Conditions form a binding agreement between you and Olympia Airport Shuttle & Transportation. They cover how you may use our website and app, how reservations work, payment and cancellation rules, the limits of our legal responsibility, and the laws that govern any disputes.

This Agreement contains the complete terms and conditions that apply when you book taxis, airport shuttles, executive cars, or any other transportation services through our website, mobile application, or customer support team. It supersedes all prior agreements between us regarding the subject matter covered here.

1.Acceptance of Terms

Your access to and use of Olympia Airport Shuttle & Transportation is subject exclusively to these Terms & Conditions. By using our website, mobile application, or any of our reservation channels, you are fully accepting the terms, conditions, and disclaimers contained in this notice.

If you do not accept these Terms & Conditions, you must immediately stop using our website and services. You will not use the Website for any purpose that is unlawful or prohibited by these Terms & Conditions.

We reserve the right to amend this Agreement from time to time without specific notice to you. The Agreement posted on the Site reflects the latest agreement, and you should carefully review it before each use of our services.

2.Using Our Website

Our website allows travelers to book taxis, airport shuttles, and executive private vehicles online. However, you are prohibited from the following:

  • Using our sites, services, and tools if you are not legally able to form binding contracts
  • Using our services if you are under the age of 18
  • Using our services if you are temporarily or indefinitely suspended from using our sites and services
  • Transmitting any worms, viruses, malware, or code of a destructive nature through our platforms
  • Using automated scripts, scrapers, or bots to interact with our website without prior written authorization
  • Attempting to bypass, disable, or otherwise interfere with security-related features of the website

3.Your Account

Signing up to use Olympia Airport Shuttle & Transportation is free and will always be. Our sign-up process requires your basic personal information, such as your full name, email address, and mobile phone number, which we use to process your bookings. You can also sign up seamlessly through connected applications available on our sign-up page.

You agree to:

  • Provide accurate, current, and complete information when creating an account
  • Certify that you are 18 years or older
  • Keep your password secure and confidential
  • Take responsibility for all activities and content uploaded under your account
  • Notify us immediately of any unauthorized access to your account

You can deactivate your account at any time without obligation by contacting our customer support team or through your account settings.

4.Bookings & Reservations

Booking taxis, airport shuttles, and private vehicles through our website typically requires you to be a registered user. When you book with us, you will be able to select your preferred vehicle and indicate your preferred amount of gratuity (tip) based on your personal preference.

Booking Confirmation

Once your booking is completed and confirmed, the selected vehicle will be automatically dispatched for your pickup. You will receive:

  • An SMS notification confirming your booking
  • An email confirming your booking with detailed journey information
  • Access to your booking record in your account's Travel History

You can view your past travel history in your account, which is useful for business travel expense reports. You also have the ability to delete all travel history at any time, subject to our records-retention obligations described in our Privacy Policy.

Validity of Reservations

  • Bookings to the airport are valid only for the specific time and date stated on the confirmation
  • Reservations from the airport are valid only for the date specified on the confirmation
  • We are not responsible for customer errors that result in unused reservations or missed flights
  • When changing the pickup or drop-off location of an existing reservation, rates are subject to change and additional charges may apply

5.Fares & Estimates

The estimated travel fare provided at booking is based on:

  • The most efficient travel route between pickup and drop-off
  • Normal traffic conditions
  • The vehicle class you selected
  • Any disclosed fees, tolls, or taxes
Your final fare may differ from the estimate due to actual traffic conditions, the route taken, post-booking wait time, parking fees, return-trip changes, or modifications you request after booking. Where pricing is described as locked-in, that price reflects the booking as confirmed at the time of reservation; route changes or additional services after that point may adjust the final fare.

6.Airport "Will Call" Service

Airport "Will Call" reservations vary by airport authority and are a curbside pickup arrangement where allowable. After collecting their luggage, the customer must call the number included in the confirmation for further instructions on where to meet the chauffeur (the "Operator").

Dispatch may ask for identifying information — such as clothing color — so the Operator can distinguish the customer from others waiting at the boarding curb. Will Call service is available at no additional charge at participating airports.

7.Airport "Meet & Greet" Service

Airport "Meet & Greet" reservations may require an additional fee. The Operator will:

  • Meet the customer inside the terminal at baggage claim with a personalized sign or placard
  • Assist the customer with luggage
  • Proceed to the parking area to board the vehicle

Meet & Greet is the standard option for international arrivals, VIP service, and any customer who prefers to be met inside the terminal rather than at the curb.

8.Short Notice Bookings

Short notice reservations are reservations made less than two (2) hours prior to the requested pickup time.

Service availability or timely service for short notice reservations cannot be guaranteed. Availability depends on a variety of factors, including:

  • Pickup location
  • Drop-off location
  • Current vehicle availability across the active fleet
  • Current chauffeur availability

There are no refunds for reservations made with less than two hours' advance notice, even if the reservation cannot be fulfilled. We will, however, make commercially reasonable efforts to either deliver the reservation or refund it where the failure to deliver is on our side.

9.Reservation Abandonment

Reservation abandonment occurs when:

  • The Operator arrives at the designated pickup location at the scheduled time
  • The Operator cannot locate the customer
  • The Operator cannot reach the customer using the "Day of Travel" contact number provided at booking

In cases of reservation abandonment, the full fare is forfeited and no refund is issued. Customers are responsible for ensuring the contact information provided at booking is correct and reachable on the day of travel.

10.Payments

Customers must pay at the time of booking to secure their reservation. Charges processed at the time of booking are refundable per the terms outlined in our Cancellation Policy, which is included in our Privacy Policy.

By providing payment information, you represent and warrant that:

  • You are legally authorized to use the payment method provided
  • The payment information you provide is true and accurate
  • You authorize us (or our third-party payment processor) to charge the payment method for the total amount of your reservation, including any applicable taxes and fees

If your initial payment method is declined for any reason, we may attempt to charge an alternate payment method on file, contact you for updated payment information, or cancel the reservation.

11.Cancellation Policy

Our full Cancellation Policy is detailed in our Privacy Policy. In summary:

  • Full refund when canceling at least 24 hours before scheduled pickup (online or app cancellations only)
  • Non-refundable booking fees apply to phone reservations even when canceled 24+ hours in advance
  • No refund for cancellations made less than 24 hours before scheduled pickup
  • No refund for same-day reservations (made within 24 hours of pickup)
  • No refund for reservation abandonment as defined in Section 9

Approved refunds are processed within 24 hours, excluding weekends and federal holidays.

12.Passenger Conduct & Vehicle Use

To ensure the safety and comfort of all passengers and chauffeurs, customers and their guests must:

  • Comply with all applicable laws while in our vehicles
  • Wear seatbelts as required by Washington State law
  • Refrain from smoking (including e-cigarettes and vaping) in all vehicles
  • Refrain from consuming alcohol in our vehicles unless specifically pre-arranged for special-occasion reservations
  • Refrain from using illegal substances of any kind
  • Treat chauffeurs and other passengers with respect
  • Adhere to the luggage policy in our Privacy Policy

We reserve the right to refuse service or terminate a trip in progress if a passenger's conduct presents a safety risk, violates applicable laws, or breaches these Terms. In such cases, no refund will be issued and the customer may be responsible for cleaning or damage fees if applicable.

A cleaning fee of up to $250 may be assessed for any incident requiring professional cleaning of the vehicle (including but not limited to spilled food or drink, illness, or other contamination).

13.Limitation of Liability

To the maximum extent permitted by applicable law, Olympia Airport Shuttle & Transportation, its affiliates, officers, employees, and chauffeurs shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

  • Missed flights, connections, or events resulting from any delay, however caused
  • Loss of business, revenue, profits, or anticipated savings
  • Loss, damage, or theft of personal property left in the vehicle
  • Service interruptions caused by weather, road conditions, traffic, mechanical failure, or events beyond our reasonable control

Our total aggregate liability arising from or related to any reservation shall not exceed the amount paid by the customer for that specific reservation.

This limitation does not exclude liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under Washington State law.

14.Indemnification

You agree to indemnify, defend, and hold harmless Olympia Airport Shuttle & Transportation, its affiliates, officers, employees, and chauffeurs from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from:

  • Your breach of these Terms & Conditions
  • Your violation of any applicable law or regulation
  • Your misuse of our website, app, or services
  • Your conduct or the conduct of any guest in your party during a reservation
  • Damage to a vehicle or another passenger caused by you or a member of your party

15.Intellectual Property

All content on the Olympia Airport Shuttle & Transportation website — including text, graphics, logos, images, photos, layout, design, and software — is the property of Olympia Airport Shuttle & Transportation or its licensors and is protected by United States and international copyright, trademark, and other intellectual property laws.

You may not reproduce, distribute, modify, create derivative works of, publicly display, publicly perform, republish, download, store, or transmit any of the material on our website without our prior written consent, except as follows:

  • You may print or download one copy of a reasonable number of pages for your own personal, non-commercial use
  • You may store files automatically cached by your web browser for display enhancement purposes

16.Changes to These Terms

We reserve the right to amend, modify, or update these Terms & Conditions at any time, in our sole discretion. Changes are effective immediately upon being posted on this page with a revised "Last Updated" date.

17.Governing Law & Dispute Resolution

These Terms & Conditions, and any disputes arising from them or from your use of our services, shall be governed by and construed in accordance with the laws of the State of Washington, United States, without regard to its conflict-of-laws principles.

Any legal action or proceeding arising under or related to these Terms shall be brought exclusively in the state or federal courts located in Thurston County, Washington, and you consent to the personal jurisdiction of such courts.

Before filing any formal legal action, the parties agree to attempt in good faith to resolve any dispute through direct negotiation. If negotiation fails after thirty (30) days, either party may proceed to formal legal action.

Severability

If any provision of these Terms is found to be unenforceable or invalid under applicable law, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms shall otherwise remain in full force and effect and enforceable.

Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Olympia Airport Shuttle & Transportation regarding our services and supersede all prior and contemporaneous agreements, representations, warranties, and understandings.
